====== Making a Booking ====== ===== How to book a unit ===== Lets assume someone wants to book onto Apollo for 7 nights starting on Tuesday 5th April 2022. As you can see, the **duration** drop down box is selected to 7 nights and we can see that Apollo is available on those dates. {{ :holray:makeabooking2.png?direct |}} Clicking on the start date will bring this box up... {{ :holray:makeabooking3.png?direct |}} Click OK. You will now see this page... {{ :holray:makeabooking4.png?direct |}} Here you can fill in the relevent information for the booking. You can see that the //booking status// currently states temporary whilst you complete the booking. No one else can book these dates unless you click //cancel booking//. Once you have filled in all the information, click **save**. A handy little pop up box will appear just to make sure you have filled in certain aspects of the booking. You can choose to ignore this. {{ :holray:makeabooking5.png?direct |}} Once this is done, you will be able to see on the chart view that your booking has been reserved. If no payment has been taken, the booking will stay booked but as a //provisional// booking. ===== Sending correspondence ===== Once your booking has been created, you can send the customer an email / letter with some extra information on. Including important details such as payment requests. Click on the //Print// button and an option box will appear. {{ :holray:makeabooking6.png?direct |}} In this case we shall send a letter to the customer. So we will click on //Letter// This pop up box will appear... {{ :holray:makeabooking7.png?direct |}} This is a list of all your document templates (stored in //Files//). In this case, the correct template has been automatically selected but you are able to override this by clicking on another template instead. Once you have selected your template, click //Print// and it shall open. {{ :holray:makeabooking8.png?direct |}} Voila! The template has pulled the information that you input for the booking and has created a personalised letter for your customer. You are able to edit this as you see fit. As you can see, the letter has the correct details in such as customer name, unit name, holiday length and start date. It is always worth double checking this letter before printing and sending / emailing to make sure the information is correct. If there are any errors, then it is worth checking the templates are correct under Files -> File Manager.
