+Units are primary bookable units. A unit might be a chalet, caravan, apartment or a boat.
-A unit is any bookable unit. E.g. A cottage, boat, caravan or lodge.
+It is always something that can exist as a booking. For example a Cruiser is a unit, a rowing-dinghy is not, a dinghy is an extra.
-You can see your existing units by clicking on the unit from the list where a pop up window will show you all the details. You can amend it, duplicate it or delete it.
-To search for a unit use the yellow boxes for your search criteria and click search. You can also use the alphabet to search for a unit. You can filter the list shown by base, class, status or sponsor. All of the filters will default to all.
-If youhave more than 20 units, you can change the number of rows to show them all as one long list, or click the arrows to move from one page to another.
-To add a new unit, click the blue New Unit box. A pop up window will appear. You need to fill in the relevant boxes. (Some boxes do not need to be filled on, as they relate to Sage export. Other boxes may not appear at all, examples are S/L code and nominal code).
-Only click day unit if it is a day boat and only click overnight if it is a day boat that can be booked overnight.
-Minimum a maximum beds refers to the number of berths . You may rent your boat as a 4 berth and so the minimum and maximum will be 4, or you may rent it as a 2 to 4 berth so minimum will be 2 and maximum will be 4.
-The notes allows you to tell your users anything about the boat that is pertinent. For axample you can show its layout, how many singles, is it wheelchair friendly, and so on.
-Set minimum and maximum nights to be 1 to 99. Covers most eventualities.
-You can set the system to allow for pop up messages for your users, and here is where you set the message.
-Is the unit hold only? Tick the box if it is. Only tick the Groups box if it is part of Drifters.
-If the cleaner needs to be notified when a booking is made on this unit (sometimes used for cottages) put in their email address. Otherwise leave blank.
-Do you have spring and autumn super saver discounts, or midweek discounts?
-You can add the build date if you want your bookers to know.
-If you book the unit on behalf of a sponsor, complete the details, otherwise leave blank.
-If you use Waterways Holidays as an agent, each unit needs a unique reference code. This is usually the unit name. If there are more than one unit with the same name, they will be 1,2 3 and so on, after the name.
-If you use Hoseasons you will need to add their codes for your unit.
-The start time and finish time is for use by your customers as this information will be pulled through onto documentation sent upon booking.
-The allocated parking refers to how many spaces you can provide. You may provide 2 spaces for a 10 berth unit but only 1 space for a 5 berth. It does not refer to how many cars a booker is bringing with them.
-You can add an image of your unit so it will show on the calender on the web. Simply add the url for the image, and add the url for your website. The Web id can be left blank.
-Custom merge fields refers to specific instructions for emails whereby you can create a single email response to a booking but have several different merge fields within the email (for different directions, or locations) - negating the need to have a lots of different emails. Leave these blank, and when need use them, we can let you have detailed instructions.
-Sort sequence is how the units show on the chart view. The default oder is alphabetical. If you set the sequence in 10s (10,20,30 etc) you can easily add another unit at a later date to appear in the middle (give it a sort sequence of 15 and it will appear between 10 and 20).
-Some units may only be available from May to October, and you can set this here. There are other places to set availability too, and these boxes can, in most cases, be left blank.
-Status can be set to Active or Deleted.
-Linked Units is for when you want your 6 to 10 berth unit to appear as 2, or 3 different units i.e. a 6 berth version, an 8 berth version and a 10 berth version. When one is booked, all three disappear from the availability. It makes your fleet seem bigger and perhaps more appealing to certain bookers. This is a setting that will require getting in touch with Holray to help with.
-You can link the calender to your iCal, and vice versa, so that a booking made via AIRbnb, booking.com or whoever you use can be blocked off your system so it cannot be double booked. It will not show the booking details, only the availability. Once again, discuss with Holray.
